Role: Depot Coordinator
Salary: £30,000 DOE
Location: Exeter
Shift: Monday-Thursday 8am-4pm & Friday 8am-3:30pm (Possible work from home on Fridays)

My client, a Specialist Mechanical Door Engineering Company, is looking for a Depot Coordinator to join their office team. The overall job of the Depot Coordinator is to manage the day-to-day running of the depot. Making sure the engineers are aware of what jobs and make sure customers are updated

The main responsibilities of the Depot Coordinator will include
Informing engineers of their jobs, making sure their time is utilised and not wasted
Booking jobs in with customers
Calling back customers when they call the hub depots
Being the first point of contact for customers transferred from the hub depot
Making sure all items are goods receipted when they are delivered (Joint)
Carry out monthly first aid checks on all first aid boxed (office and vehicles)
Carry out PPE checks when necessary
Keep the engineer training matrix up to date and book / organise training when needed
Provide prices for on-site engineer quotes (joint)
Contact customers to get on-site uplifts to carry out repairs
Contact customers to get uplifts to re-attend the site
Complete paperwork for maintenance and submit for invoicing
Make sure job tickets are loaded to jobs on the system (where applicable)
Update customers after every visit, even if job is not complete
Let customers know when we will be attending
When a job is complete, collate all information ready for invoicing
Booking appointments with potential customers
On call Out of hours once in every 7-8 weeks
Organise and distribute maintenance jobs

There are also a few jobs that should be carried out by both Manager & Depot Coordinator
Raising PO’s
Depot co-ordinator as 1st line, Manager as 2nd line
Send work to engineers at end of every day
Preparing parts for jobs
Providing generic RAMS to customers prior to attendance
Raising/converting jobs in certain circumstances:
Job comes directly to manager / supervisor
Job has been quoted

The client is prepared to offer the Depot Coordinator

Occupational paternity pay – 1 week OPP and one-week SPP
Occupational adoption pay – 8 weeks OAP and 31 weeks SAP
Occupational parental bereavement pay – 2 weeks full pay
