Workshop Administrator – Avonmouth
Salary: £29,753.50 per annum
Hours: 40 hours per week, between 07:00 – 18:00 (flexible) + 1 in 3 Saturdays (08:00 – 13:00)
Contract: Permanent
Overview
We’re looking for a detail-oriented Workshop Administrator to join a busy commercial vehicle dealership in Avonmouth. This role is key to ensuring the smooth flow of job cards through the workshop, supporting the Workshop Controller and front-of-house team to maximise technician utilisation and ensure accurate, timely invoicing. You’ll work closely with technicians, service advisors, and parts teams to maintain quality standards and manufacturer compliance.
This role would suit someone with a background in Service Administration or Service Advising who is comfortable with administrative processes, job card quality, and occasionally covering front-of-house reception.
Key Responsibilities
- Quality check job packs in line with audit standards and deliver to admin team in a timely fashion
- Track jobs through the workshop system, proactively identifying delays or missing information
- Liaise with technicians, service advisors, and parts teams to ensure all required details are captured for invoicing
- Ensure all labour, parts, and subcontractor costs are correctly allocated to each job
- Assist the Workshop Controller with day-to-day admin support
- Prepare and administer eSculabs and Customer Authority portals
- Monitor and update workshop loading to maximise sold hours
- Ensure service reception is constantly updated on workshop progress
- Obtain authorisation for additional work via service reception or direct customer contact
- Prepare accurate estimates for customer approval
- Maintain a full audit trail of authorisations and customer communication (eWIP)
- Ensure quality control procedures and Visual Health Check processes are completed
- Provide Service Advisor cover during absence, assisting with job pack creation, updates, and eWIP management as required
- Comply with all Health and Safety regulations
What You’ll Need
- Previous experience in a Workshop Administrator, Service Administrator, or Service Advisor role within the motor industry
- Strong attention to detail and ability to quality-check job cards
- Confidence to politely challenge workshop or front-of-house teams on job card quality
- Organised and methodical approach to workload
- Ability to work under pressure and meet deadlines
- Good communication skills and ability to liaise across departments
Key Performance Measures
- Ensure job packs meet manufacturer standards before invoicing
- Achieve operational and financial targets through job card quality and speed of invoicing
