Hire Desk Administrator – Equipment Hire
Are you an organised and proactive administrator looking for your next opportunity?
Our client, a well-established and growing equipment hire company, is looking to recruit a Hire Desk Administrator to join their busy depot in Oxford. This is an excellent opportunity for someone with strong administrative and customer service skills to support the Hire Desk team in a fast-paced environment.
Previous experience within the hire industry is advantageous but not essential – full training will be provided for the right candidate.

The Role
Working closely with the Hire Desk team, you’ll provide administrative support to ensure the smooth day-to-day running of the depot and assist with the coordination of equipment hires.
Your responsibilities will include:

• Supporting the Hire Desk with the administration of hire and off-hire contracts
• Answering incoming telephone calls and responding to customer enquiries
• Preparing quotations, hire agreements and invoices
• Updating internal systems with customer, equipment and hire information
• Assisting with booking deliveries, collections and transport
• Liaising with customers, drivers, engineers and other depot departments
• Processing purchase orders and maintaining accurate records
• Managing emails and ensuring customer enquiries are dealt with efficiently
• Filing documentation and maintaining electronic records
• Assisting with general depot administration and customer service duties
• Providing a professional and friendly service to customers both over the phone and in person

About You
The successful candidate will have:

• Previous experience in an Administration, Office Administrator, Customer Service, Hire Desk Support or Coordinator role
• Excellent communication and customer service skills
• Strong organisational skills with excellent attention to detail
• Good IT skills, including Microsoft Office
• The ability to prioritise a busy workload and manage multiple tasks
• A positive, proactive and team-focused attitude
• Confidence working in a busy office environment

Previous experience within Plant Hire, Tool Hire, Powered Access or the Equipment Hire industry would be advantageous but is not essential, as full training will be provided.
